Email Communication Policy

1. Introduction

Peters Therapy Group is committed to protecting the privacy of individuals who communicate with our practice. This policy explains how email communication works and outlines the limitations and risks associated with sending information by email. Email is primarily intended for general or administrative communication, such as scheduling appointments or asking general questions about services. It should not be relied upon for urgent, time-sensitive, or emergency matters.

2. No Therapeutic Relationship

Sending or responding to an email with Peters Therapy Group does not create a therapeutic, clinical, or professional relationship between you and Peters Therapy Group Inc. or any of its employees, therapists, or affiliates. A therapeutic relationship is only formed after formal intake, clinical assessment, and signed consent.

3. Using email to contact us

You may choose to contact Peters Therapy Group by email for purposes such as:

  • scheduling or changing appointments

  • general questions about services

  • administrative requests

  • providing non-sensitive information requested by a therapist or team member

Email accounts are not monitored continuously, and response times may vary depending on schedules, vacations, illness, technical issues, or other circumstances. Emails may occasionally be missed, delayed, filtered, or not received, and we do not guarantee that every email will be received or responded to. If you require immediate assistance or are experiencing a crisis, please contact emergency services or a crisis support service rather than sending an email.

4. Access to emails

Emails sent to Peters Therapy Group may be reviewed or managed by administrative team members who assist with scheduling and communications. These team members may not be registered therapists or regulated health professionals, so clients should avoid including sensitive personal information, health information, or therapeutic content in email messages whenever possible. Sensitive matters are best discussed after formal client intake is completed in scheduled appointments or through secure communication platforms when available.

5. Risks of email communication

Email communication carries certain privacy and security risks. For example:

  • emails may be intercepted or accessed by unauthorized parties

  • messages may be sent to unintended recipients

  • delivery may be delayed or blocked by spam filters

  • information may be stored on third-party email servers

Because of these factors, the security and confidentiality of email communication cannot be guaranteed.

6. Storage of emails

Emails related to services provided by Peters Therapy Group may be retained as part of administrative or clinical records in accordance with applicable privacy laws and professional record-keeping requirements.

7. Your choice to use email

By contacting Peters Therapy Group by email, you acknowledge and accept the risks associated with electronic communication and consent to receiving replies by email unless you request another method of communication.

8. Amendments

We may update this policy from time to time by publishing a new version on our website.
